AI assistants that handle the work nobody has time for
AI that handles enquiries, quotes, scheduling and admin using your own prices, availability and history — with a person in control of anything that matters. Setup from £1,500.
The problem this actually solves
Nearly every small business we talk to is losing money in the same two places, and neither is glamorous. The first is response time: an enquiry arrives at 7pm, gets seen at 10am, and by then they've booked someone who replied at 7:15. The second is admin — hours a week spent typing the same information into a different box, chasing quotes, confirming appointments and answering the same nine questions.
That's the work worth handing to an AI assistant. Not because it's clever, but because it's repetitive, it happens at inconvenient times, and being fast at it is worth real money.
What we build
- Enquiry handling and triage. Every email, form and message read, categorised, given an urgency, and answered — instantly, at 2am, with the details your customer asked for. Genuine emergencies get flagged straight to your phone.
- Quote drafting. The assistant reads the enquiry, applies your pricing rules, and produces a quote ready for you to check and send. Two days becomes two minutes, and the pricing stops depending on who happened to write it.
- Booking and scheduling. Slots offered against your real availability, confirmations and reminders sent, reschedules handled without a phone call.
- A site assistant that knows your business. On your website, answering from your prices, service area and policies — and collecting the details you need before handing over a warm lead rather than a transcript.
- Follow-up that doesn't get forgotten. Quotes chased at sensible intervals, review requests sent after completion, dormant customers nudged. This is usually the fastest money the whole project finds.
- Back-office tidying. Invoices reconciled, job notes written up from a voice memo, records kept in step across systems.
How we approach it
Two rules shape every build. A human owns anything consequential — money, commitments, promises to customers. The assistant prepares, a person approves, and you widen the automatic paths only once you've seen it behave. And every assistant is grounded in your data, not a generic script: it answers from your prices, your coverage, your past jobs, and it's built to say "I'll get someone to confirm" rather than invent an answer.
- Find the repetition. A free call, and we look at where the hours actually go. Sometimes the answer is a £30-a-month tool you already pay for and haven't switched on — we'll tell you.
- Pick one job and put a number on it. One workflow, one agreed measure of success. Assistants that try to do everything end up trusted with nothing.
- Connect the data. Inbox, CRM, calendar, pricing, stock — whatever it needs to see. This is API work and usually the bulk of the build.
- Shadow mode. It runs alongside you for two to three weeks, drafting without sending, so you can see exactly how often it's right before it touches a customer.
- Go live, then widen. The paths it's proven on go automatic. The rest stay human. We review the numbers monthly and expand from evidence.
Where we'll talk you out of it
AI is not a fix for a quiet phone. If the problem is that nobody knows you exist, an assistant will diligently automate a trickle — the money belongs in local SEO and your Google Business Profile instead. It's also poor value below roughly five hours of repetitive admin a week; under that, the setup won't pay for itself and we'd rather say so now.
What it costs
Setup starts at £1,500 for a single well-defined job and typically runs to £4,000–£8,000 for something spanning several systems. Running costs start at £149 a month and cover model usage, hosting, monitoring and ongoing tuning — the last of which matters more than people expect, because the first version is never the good one.
You own the configuration, the prompts, the connections and the data. If you stop working with us, it keeps running and you hold the keys.
AI assistant questions
How much does an AI assistant cost to set up and run?
Setup starts at £1,500 for a single job — enquiry triage, an out-of-hours responder, or a quoting draft — and rises with the number of systems it has to touch. Running costs are from £149 a month, which covers the model usage, hosting, monitoring and the tuning it needs in the first few months. Both figures are fixed in the proposal before we start.
Will it say something stupid to a customer?
That is the right question, and it's why we default to drafts rather than sends. The assistant writes the reply, classifies the enquiry, or fills in the quote, and a person clicks the button. Once you've watched it be right for a few weeks you can let specific low-risk paths go fully automatic — starting with the ones where being wrong costs nothing.
How is this different from the chatbot my website builder offers?
Those answer from a generic script and can't see anything about your business. Ours is connected to your actual prices, availability, service area, past jobs and policies — so when someone asks whether you cover Chorley on a Saturday, it knows. That connection is most of the work, and it's why the results are different.
Do I need to replace my current systems?
No. Almost all of this work sits on top of what you already use — your inbox, CRM, booking system, accounting software or spreadsheets. Connecting them is API work, which we do as part of the same project.
What about our data and GDPR?
Your business data stays yours and isn't used to train anyone's public model. We use business-tier APIs that contractually exclude training, keep records of what the assistant did and why, and write the retention rules into the build. If your work involves special-category data, say so early and we'll scope it accordingly.
What if it doesn't work well enough to be worth it?
We agree the measure before we build — hours saved a week, response time, percentage of enquiries handled without a human. If it misses, we say so and either fix it or stop. An AI project with no agreed number attached is how people end up paying a monthly fee for a novelty.
